SUPERVISOR: Arts Program Coordinator

EMPLOYMENT LENGTH: February 7, 2021 – June 30, 2022

PART TIME/FULL TIME: Part-time Temporary

COMPENSATION: $22 – $28 per hour

Sign on & Completion Bonus Eligible

NOTE: Projected hours for the duration of employment are approximately 350 Hours with hours worked each week varying depending on demand, with an anticipated average hours worked at 20, beginning with fewer hours and progressively increasing as the festival approaches.


This job is a lead position assisting in the planning and production of the Living Traditions Festival, a free and public festival which has served upwards of 30,000 members of the public each year for 35 years. This position is responsible for the development and execution of all marketing related activities for the festival. This position directly supports the Arts Program Coordinator, operating as a team leader and festival planner, among other duties as assigned.


Event Planning & Development

  • Meet with Arts Program Coordinator and other key festival staff to carefully develop and discuss festival timelines, budgets, and marketing needs;
  • Review, inventory, and organize marketing & communications assets necessary for festival execution & determine if additional marketing assets are needed;
  • Develop key festival documents related to marketing efforts, including but not limited to, (1) site maps, (2) festival brochures and schedules, (3) website assets, (4) marketing content and collateral for partners, (5) festival signage and banners, and other needs as they arise;
  • Serve as key staff responsible for responding to and attending to any marketing related needs & activity, including but not limited to, (1) contract development for media partners, (2) monitoring & reporting on festival marketing progress, & (3) evaluation and improvement of processes (5) targeted outreach to sponsors and partners to ensure proper logo placements and meaningful engagement, and other activities related to festival marketing and promotion;
  • Demonstrate a high level of attention to detail and professionalism in assisting with financial, invoicing, and contractual obligations related to marketing efforts.

Event Execution & Monitoring

  • Assist in the installation of environmental graphics & directional signage around event grounds, ensuring a high degree of professionalism & quality standards are met;
  • Monitor radio transmissions, respond to calls and troubleshoot issues as they arise;
  • Strike and restoration of festival grounds in cooperation with production staff and other festival vendors, ensuring quality and precision while remaining safe and efficient.

Post-Festival Evaluation & Documentation

  • In partnership with Arts Program Coordinator and other key staff, ensure that proper documentation of all marketing efforts are carefully reviewed and properly archived;
  • Implement and monitor a post-festival assessment of marketing related activities, submitting reports and data related to effectiveness of marketing efforts;
  • Ensure that all marketing related assets have been recovered, inventoried, and assessed for damages, seeking replacements or repairs where needed.
  • Develop and Coordinate Marketing Content & Sharing
  • Maintain a consistent presence on all social media accounts, including Facebook, Instagram, and Twitter on behalf of the Living Traditions Festival;
  • Promote content to media partners, ensuring quality and consistency;
  • Develop and maintain relationships with all media partners;
  • Maintain and update website content related to the Living Traditions Festival;
  • Develop and share supplemental graphics for the festival;
  • Drive awareness and engagement for the Living Traditions Festival and its programs.

Other Duties as Assigned

  • May include preparation for other festival positions & logistics related to the festival



  • Experience with strategic marketing, advertising, and public relations preferred.


  • Strong abilities to lead projects related to event marketing and communications;
  • Proficient in all Microsoft products (Word, Outlook, Excel, PowerPoint);
  • Proficient in all Adobe products preferred (Adobe Illustrator & Photoshop);
  • Excellent communication and interpersonal skills (written & verbal) required;
  • Professional & positive attitude and demeanor (tact, positivity, and diplomacy);
  • Detail oriented, able to audit work to avoid mistakes, and perform tasks accurately;
  • Able to lift upwards of 75 pounds and sit or stand for prolonged periods of time;
  • Must have a valid Driver’s License (may be required to use a personal vehicle).
